The Client Coordinator will drive the outreach, conversion, and delivery coordination of NagaEd’s training initiatives. Working directly under the Head of Projects and Senior Manager – LDX, the Coordinator will own the school and organisation outreach pipelines: identifying and visiting schools and orgs, building relationships with heads and decision-makers, progressing leads through to confirmed bookings, and managing the logistics that ensure every training session is delivered seamlessly.
This is a hybrid role. When not engaged in outreach or training coordination, the Coordinator will support NagaEd’s broader project operations — assisting with scheduling, documentation, stakeholder communication, and coordination tasks as different projects arise. The role is designed for someone who is equally comfortable in the field building relationships with school /org leaders and at a desk managing
timelines and correspondence.
The Client Coordinator is a critical hire that enables the training initiatives to scale beyond its current capacity constraints.
The Client Coordinator will:
Outreach & Lead Conversion (Primary Function)
• Conduct in-person visits to schools/orgs across districts, mainly Kohima, Dimapur, Chumukedima, and Niuland, to introduce NagaEd’s capacity-building workshops.
• Identify and engage the right decision-makers — Heads, Principals, Administrators, Directors, and HR Leads — and build the relationships necessary to progress leads through to booking.
• Maintain and update the training pipeline tracker, recording lead stage, visit notes, follow-up dates, and conversion status accurately after every interaction.
• Follow up with orgs and schools in negotiation or qualified stages through visits, calls, WhatsApp messages until a date and theme are confirmed.
• Present NagaEd’s offerings clearly and confidently — explaining workshop themes, logistics, pricing, and the value of professional development for recipients.
• Work with the Head of Projects and Senior Manager to identify and prioritise new targets each outreach cycle.
Training Logistics & Delivery Coordination
• Manage all pre-session logistics once a booking is confirmed: coordinate with the org/school on participant count, venue setup, timing, and any specific requirements.
• Liaise with the training facilitator and NagaEd leadership to ensure all materials, equipment, and session plans are prepared and dispatched on time.
• Confirm headcount and generate session briefings for facilitators before each training.
• Attend training sessions when required to support smooth on-ground delivery.
• Collect post-session feedback from participants and leadership, and submit a summary report to the Head of Projects within 48 hours of each session.
Financial Administration
• Initiate invoice generation requests to NagaEd’s finance/admin function upon booking confirmation and session delivery, as directed by the Head of Projects.
• Track the payment status of all confirmed bookings and follow up with clients on outstanding invoices in a professional and timely manner.
• Maintain accurate records of all financial interactions related to the training pipeline.
Office & Project Coordination (Secondary Function)
• Support the Head of Projects and Senior Manager with scheduling, documentation, and correspondence across NagaEd’s active projects when not engaged in field outreach.
• Assist with the preparation of meeting notes, status updates, reports, and proposals as required by NagaEd’s leadership team.
• Coordinate logistics for events, workshops, and stakeholder engagements organised by NagaEd.
• Manage shared calendars, project trackers, and filing systems to ensure information is current and accessible.
• Handle incoming inquiries and route them appropriately across the organisation.
This role reports directly to the Head of Projects and collaborates closely with the
Senior Manager and the broader NagaEd team.

The Client Coordinator role is well-suited to a motivated early-career or mid-career professional who is confident in the field, organised in the office, and genuinely interested in education and professional development.
• Minimum qualification: Bachelor’s degree in any discipline.
• Strong interpersonal and communication skills — ability to hold professional conversations with org heads, school principals, administrators, and senior educators with confidence and warmth.
• Demonstrated ability to manage a pipeline, follow up consistently, and move leads toward a decision — whether from a sales, outreach, fundraising, or relationship management background.
• Highly organised and self-directed — able to manage multiple clients, follow-up timelines, and administrative tasks simultaneously without close supervision.
• Proficiency in standard digital tools: WhatsApp Business, Google Workspace (Docs, Sheets, Drive), and basic spreadsheet/tracker management.
• Ability to represent NagaEd professionally in field settings — punctual, well-presented, and articulate.
• Genuine interest in education and the professional development of teachers in Nagaland.
• Willingness to travel regularly across allocated districts for visits.
• Prior experience in school outreach, education sector business development, or sales in a service industry.
• Familiarity with the Nagaland school landscape — awareness of key institutions, academic calendars, and decision-making structures.
• Experience coordinating events, workshops, or training logistics.
• Understanding of teacher professional development and its value to schools.
• Prior experience working in a startup, NGO, or small-team environment where agility and initiative are expected.
