Purpose of the Position

The Talent & Bootcamp Manager is responsible for the planning, coordination, welfare, management, and day-to-day operation of the Hillywood Fiesta Bootcamp.
The role exists to ensure that contestants, mentors, trainers, and guest facilitators are properly coordinated while maintaining a structured, engaging, safe, and professionally managed bootcamp environment.
The Talent & Bootcamp Manager serves as the primary point of contact for all contestant-related matters throughout the bootcamp period.

Organisational Unit Function

The Talent & Bootcamp Manager will:

Bootcamp Operations & Scheduling (Primary Function)

  • Develop and manage the full bootcamp schedule — including daily activity timetables, session plans, mentor rotations, and rest periods.
  • Oversee the day-to-day running of the bootcamp facility, ensuring all sessions start on time, spaces are prepared, and equipment is in place.
  • Coordinate with the Operations & Strategy Lead and Program Manager on logistical requirements across the bootcamp phase.
  • Maintain a live operations tracker covering contestant attendance, session completion, incidents, and daily status updates.
  • Identify and resolve operational disruptions quickly, escalating critical issues to the Operations & Strategy Lead when required.
  • Ensure all bootcamp activities run to schedule and that any changes are communicated clearly and promptly to all relevant parties.

Contestant Management & Welfare

  • Serve as the primary point of contact for all contestants throughout the bootcamp — addressing questions, concerns, and day-to-day needs.
  • Maintain a structured and supportive environment that balances performance expectations with participant wellbeing.
  • Monitor contestant welfare, morale, and engagement throughout the bootcamp — and flag concerns to leadership early.
  • Manage contestant conduct, discipline, and conflict resolution in line with project guidelines and with professionalism and fairness.
  • Coordinate contestant accommodation, meals, transport, and daily logistics in collaboration with the operations team.
  • Maintain accurate contestant records — including attendance, health and safety declarations, consent documentation, and participation logs.
  • Support participants in managing the emotional and physical demands of an intensive bootcamp experience.

Mentor, Trainer & Facilitator Coordination

  • Coordinate the scheduling and logistics for all mentors, trainers, and guest facilitators across the bootcamp program.
  • Brief mentors and trainers on session requirements, contestant needs, and program objectives before each session.
  • Ensure mentors and trainers have all materials, equipment, and space requirements confirmed ahead of each session.
  • Collect feedback from mentors and facilitators after sessions and relay relevant insights to the Creative Production Lead and PMO.
  • Maintain strong working relationships with all mentors and trainers throughout the bootcamp duration.

Production & Content Support

  • Work closely with the Production Team to coordinate filming schedules, camera access, and contestant availability for content creation.
  • Ensure contestants are briefed on production requirements and are prepared for filming, interviews, and OTT content sessions.
  • Flag any welfare or scheduling conflicts between production requirements and participant wellbeing to the Creative Production Lead.
  • Support the capture of behind-the-scenes content, contestant stories, and bootcamp moments that serve marketing and OTT objectives.

Communication & Reporting

  • Provide daily operational updates to the Operations & Strategy Lead and PMO Coordinator covering session completion, incidents, and upcoming requirements.
  • Prepare end-of-week bootcamp summaries for PMO leadership including attendance, progress, welfare flags, and operational highlights.
  • Maintain clear and professional communication with contestants, mentors, families (where relevant), and all internal stakeholders.
  • Escalate any safety, welfare, or conduct concerns immediately through the appropriate reporting channels.

Post-Bootcamp Support (As Required)

  • Support the transition of bootcamp finalists into the Grand Finale phase — including logistics, briefings, and welfare handover.
  • Assist with documentation of bootcamp outcomes, learnings, and recommendations for future editions.
  • Support the Marketing Team with contestant profiles, stories, and content assets for post-bootcamp audience engagement.

Reporting Relationships

This role reports directly to the Operations & Strategy Lead and works closely with the PMO Director, Program Manager, Creative Production Lead, Production Team, and all Mentors and Trainers engaged on the project.

Selection Criteria

This role is well-suited to a confident and people-focused professional who is equally comfortable managing logistics and supporting the emotional wellbeing of participants in a high-intensity, residential environment.

Essential

  • Bachelor’s degree in any discipline.
  • Demonstrated experience in talent coordination, bootcamp management, residential program management, event operations, or a related people-management role.
  • Strong interpersonal and communication skills — ability to build trust with contestants, mentors, and senior stakeholders simultaneously.
  • Experience managing schedules, logistics, and operations across multiple concurrent activities.
  • Ability to manage conflict, maintain discipline, and handle sensitive welfare situations with professionalism and empathy.
  • High attention to detail in maintaining records, schedules, and operational documentation.
  • Ability to work in a fast-paced, residential, high-pressure environment with composure and flexibility.
  • Willingness to be present full-time at the bootcamp venue for the duration of the bootcamp phase.

Desirable

  • Prior experience managing talent, contestants, or participants in an entertainment, sports, or performance program.
  • Familiarity with OTT content production environments and the requirements of on-camera talent management.
  • Experience coordinating mentors, trainers, or external facilitators in a structured program setting.
  • Knowledge of Northeast India’s cultural landscape and sensitivity to the regional context of participants.
  • Prior experience in a startup, NGO, or small-team environment where agility and initiative are expected.
